JOB SUMMARY

The Claims and Legal Operations Manager will support the SPX Legal Department with the management of claims and litigation matters as well as day‑to‑day legal operations activities. Management of claims and litigation matters includes, but is not limited to, supporting SPX attorneys in the management and organization of claims or litigation matters, coordinating with appropriate SPX business unit personnel in the gathering of data, the transfer of data to outside counsel or external experts, and communicating with third‑party claims representatives, outside counsel, SPX Risk Management, insurance broker representatives, and other service providers. Legal operations activities include partnering with members of the SPX Legal Department to improve how legal services are delivered across the organization and to optimize use of various tools associated with the delivery of such services. Legal Operations will focus on driving efficiency, cost control, process improvement, technology enablement, and data‑driven decision‑making throughout the Legal Department.

This position is based in Charlotte with a hybrid (3 days in office) work schedule.


PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Support attorneys with management of claims and litigation
  • Assist outside counsel with data collection in litigation matters and coordinate communication with third‑party claims representatives, outside counsel, SPX Risk Management, insurance broker representatives, and other service providers
  • Assist with general case management
  • Assist with legal due diligence and discovery projects, when necessary
  • Design, document, and improve Legal Department workflows, processes, and standard operating procedures
  • Manage operational aspects of outside counsel relationships, such as onboarding, rate negotiations, budgeting, and performance reviews
  • Oversee management of legal spend, matter‑level budgeting, accruals, and forecasting by utilizing metrics and KPIs to provide insights into team performance, spend, and productivity
  • Manage and improve billing guidelines and invoice review processes
  • Identify opportunities to reduce spend or inefficiencies
  • Manage and serve as primary administrator of the e‑billing/matter management tool (currently Legal Tracker)
  • Lead efforts to optimize use of Legal Department tools (e‑billing, matter management, contract lifecycle management, document management, etc.)
  • Drive adoption and training of Legal Department tools
  • Manage engagement and communication tools within the Legal Department, outside counsel, and internal stakeholders (currently MS Teams and SharePoint)
  • Provide reports and other requested information to the General Counsel and other Legal Department members
  • Foster a culture of continuous improvement and accountability
  • All other duties as assigned

KNOWLEDGE, SKILLS & ABILITIES

  • General knowledge of products liability, personal injury, and general litigation, along with processes for tendering claims to insurers
  • Proven project management and process improvement skills, including experience driving continuous improvement into workflows, processes, and standard operating procedures
  • Ability to quickly learn new technology, including e‑billing software, matter management software, contract lifecycle management software, document management tools, and engagement/communication tools (Legal Tracker, Ironclad, MS Teams, SharePoint, Qlik)
  • Understanding of Legal Department economics, outside‑counsel management, and billing practices
  • Strong analytical skills with the ability to translate data into practical insights
  • Excellent communication skills and comfort working with senior leadership
  • Excellent organizational skills and ability to move quickly between topics or issues
  • Ability to work in a fast‑paced, team‑oriented environment
  • Self‑directed with excellent initiative and organizational skills
  • Strong ability to manage multiple demands with urgency, drive, and energy

EDUCATION AND EXPERIENCE

Required Education / Experience

  • Associate’s Degree or higher
  • 5+ years of prior relevant experience, ideally in a corporate legal or private legal practice environment

Preferred Education / Experience

  • Paralegal certificate; insurance adjuster license; CPCU designation; or other equivalent experience

Reports directly to the Assistant General Counsel – Litigation & Claims.
