As part of HVAC Cooling, SPX Cooling Technologies is a leader in high quality industrial HVAC equipment used to cool large facilities like hospitals, data centers, and power plants. With cooling towers, fans, and refrigeration units, companies rely on brands like Marley, Recold, and SGS to provide comfort and mission critical and industrial cooling solutions.
How you will make an Impact (Job Summary)
The Sales Coordinator plays a critical role in supporting the commercial and sales functions within the Cooling business while providing select administrative support to key leaders. This position ensures smooth coordination of sales operations, customer interactions, meetings, events, and internal team support.
You will assist with CRM accuracy, customer documentation, event logistics, onboarding, travel arrangements, and the preparation of sales presentations and reports. You will also support executive calendars and handle sensitive information with professionalism. This role requires strong organization, responsiveness, and the ability to manage multiple priorities in a fast-paced environment.
What you can expect in this role (Job Responsibilities)
Sales Operations & Customer Support
- Maintain organized records of contracts, invoices, NDAs, customer agreements, and sales documentation.
- Assist with CRM data entry and ensure accuracy of customer profiles and sales activity logs.
- Support customer registration processes and ensure compliance with internal systems.
- Coordinate customer visits, facility tours, rep visits, and related logistics.
- Assist in preparing sales presentations, proposals, marketing materials, and Quarterly Business Review content for strategic customers.
- Process and reconcile sales team travel expenses and booking requests.
- Track budgets for sales events, travel, promotions, and marketing activities.
Sales Meeting & Event Coordination
- Coordinate internal and external sales meetings, including logistics for virtual, onsite, and offsite sessions.
- Plan and manage events such as customer meetings, rep gatherings, team workshops, lunch meetings, and recognition activities.
- Coordinate trade show registrations, travel, and materials for the commercial and sales teams.
Administrative & Executive Support
- Provide administrative coordination for commercial, product management, engineering, and HR leaders specific to sales-related needs.
- Manage calendars for senior leaders with an emphasis on scheduling sales reviews, customer updates, and internal commercial meetings.
- Manage travel arrangements, process invoices, and prepare reports and documents as requested.
- Maintain conference rooms, organize meeting spaces, and manage catering for larger group meetings.
- Handle confidential information with discretion and professionalism.
Onboarding, Internal Support & Office Coordination
- Support onboarding documentation and agendas for new sales, marketing, product management, and engineering team members.
- Help manage interview scheduling and candidate travel for sales or commercial roles.
- Order office supplies for sales-adjacent departments (Executive area, Sourcing, Project Mgmt., Engineering, Aftermarket).
- Assist employees with travel visas, passport renewals, invitation letters, and FedEx shipping needs for business purposes.
- Provide support for employees needing literature, presentations, training materials, or published resources using a purchasing card.
Cross-Functional Collaboration & Culture
- Collaborate with and serve as backup to other administrative staff and executive assistants.
- Contribute to team culture through planning internal events, celebrations, and communication activities.

EDUCATION/EXPERIENCE
- High school degree required
- 3 years of administrative experience required
CERTIFICATION/OTHER SKILLS AND ABILITIES
- Strong attention to detail and accuracy in all sales and administrative tasks.
- Professional communication and ability to work with customers, executives, and cross-functional teams.
- Ability to manage multiple deadlines with a sense of urgency.
- Proficiency with Microsoft Office applications, especially Excel and PowerPoint.
- Flexibility to work overtime based on business needs.
